Mastering the Phone-Up: How to Handle Inbound Sales Calls

The phone-up is one of the highest-value opportunities in the dealership and one of the most fumbled. A caller has raised their hand — they want a specific vehicle or answer, and they've chosen your store to call. Yet many reps answer with no script, quote a price, and hang up without a name. The entire goal of the phone-up is one thing, and it isn't answering the question: it's booking a firm appointment.
The goal is the appointment, not the answer
Callers ask about price and availability, but giving a full price quote over the phone almost never closes a sale — it just gives a shopper a number to carry to the next store. The winning move is to confirm the vehicle is available, build a little rapport, answer enough to stay credible, and set a specific time for them to come in and see it. A customer standing in front of the vehicle buys; a customer holding a phone quote shops.
A simple phone-up framework
Answer fast and warm, with your name and the store's name.
Get the caller's name early and use it throughout the call.
Confirm the vehicle of interest and its availability.
Build light rapport — why this vehicle, what they drive now.
Ask for the appointment with a specific alternative: "Does 5:30 or 6:15 work better?"
Capture their number and confirm it before hanging up.
What never to do on a phone-up
Don't negotiate price, don't say "yes, it's still available" and then simply let the call end, and never hang up without a name and number. A caller who gives you nothing and gets a full quote is a lead you've gift-wrapped for a competitor. Every phone-up should end with either a booked appointment or, at minimum, the contact information you need to follow up. Treating the call as a transaction to complete rather than a relationship to start is the core mistake.
Log the call so it doesn't die
A phone-up that isn't logged is a lost lead. Every inbound call should create a record with the caller's name, the vehicle of interest, and the agreed next step. Missed and abandoned calls should be flagged so a manager can follow up, because a huge share of dealership phone-ups go unanswered or unreturned entirely — and each of those is a customer who was ready enough to pick up the phone.
Coach from the recordings
The fastest way to improve phone-up performance is to listen to actual calls. Recorded phone-ups show you which reps ask for the appointment and which ramble into a price quote, which get the name and which never do. Those recordings become the raw material for coaching and for building a talk track from the language that actually books appointments.
Let AI catch what the floor misses
During busy hours, calls go to voicemail and shoppers move on to the next dealer. AI phone and SMS handling can answer instantly, capture the vehicle of interest, and even book the appointment directly into the calendar, so no phone-up is lost to a busy showroom or an after-hours gap. Every ringing phone is a customer who chose to reach out first, and the store that treats each one as a booked appointment waiting to happen wins.
Dabadu Communication AI answers, qualifies, and books inbound phone-ups automatically — so every raised hand turns into a real appointment.
